Position Brief

To coordinate and monitor the delivery of design information across multiple façade projects, ensuring that design activities are planned, tracked and delivered in accordance with project programmes, Information Release Schedules (IRS), client requirements and company procedures.

The Design Coordinator is responsible for the day-to-day administration and coordination of the design process, providing visibility of progress, managing design information flow, coordinating internal and external designers, maintaining design records and supporting compliance requirements

Key Responsibilities

Design Coordination

· Coordinate the design process from project handover through to project completion.

· Assist in the preparation and maintenance of Information Release Schedules (IRS).

· Monitor design programmes and report progress against key milestones.

· Track design deliverables and approvals.

· Coordinate internal and external design resources.

· Escalate design delays and resource constraints.

Design Administration

· Maintain design trackers and action registers.

· Maintain document registers.

· Manage document control processes.

· Coordinate design meeting agendas and minutes.

· Issue and track design actions.

Stakeholder Coordination

· Coordinate internal design meetings.

· Attend client design meetings.

· Liaise with project managers, commercial teams, procurement teams and external consultants.

· Coordinate information exchanges between stakeholders.

Compliance and Records

· Maintain Gateway 2 records and associated documentation.

· Maintain Golden Thread information.

· Maintain design risk registers.

· Assist in design change control processes.

· Coordinate O&M and H&S design information.

Design Reporting

· Prepare weekly and monthly design reports.

· Monitor design KPI performance.

· Report design resource requirements.

· Assist with forecasting future design workloads.

Key Skills

· Strong organisational and coordination skills

· Experience working within design, construction, engineering, or project environments

· Confident managing multiple workstreams and competing priorities

· Comfortable working with trackers, schedules, and document control systems

· Clear and professional internal communication skills

Key Requirements

· Experience:

Essential

o Experience in construction project coordination in UK.

o Experience managing information and design documentation on projects in UK.

o Strong organisational skills.

o Ability to manage multiple projects simultaneously.

o Proficiency in Microsoft Office and document management systems

o Practical experience in design of building envelopes in UK

o Strong knowledge of key building regulations, British standards, NHBC and other industry requirements applicable to the design and performance of facade systems in the UK

Desirable

o Technical coordination experience.

o Understanding of Building Safety Act requirements.

o Understanding of design management processes.

· Practical Skills:

o Strong organisational and task-tracking skills

o Ability to manage multiple small and medium design tasks simultaneously

o Confident using trackers, schedules, and document management systems

o Ability to identify delays, clashes, and emerging bottlenecks

· Teamwork and Communication:

o Clear and professional communicator internally

o Able to coordinate across multiple stakeholders and teams

o Comfortable chasing actions and maintaining accountability without formal authority

· Education:

o Relevant qualification in design, engineering, construction, project management, or a related discipline (or equivalent experience)

· Nice to Have (Preferable but not required):

o Understanding of design workflows and project lifecycles

o Experience supporting design programmes from early stages through to close-out

o Familiarity with variation control or change management processes

Schedule:

  • Probationary Period of 6 months
  • Monday – Friday
  • Working Hours are 8:00am – 5:00pm(with 30mins lunch break)
