We are one of London’s leading Sports and Remedial Massage Clinics, and we’re looking for an exceptional Front of House Receptionist to be the heartbeat of our clinic. This isn’t just an admin role as you’ll be a key part of keeping everything running smoothly, and your energy, warmth, and professionalism will set the tone for every client who walks through our door.
About the Role
You’ll work closely with our Operations Manager to ensure the clinic operates at its very best. From greeting clients and managing bookings to supporting the therapy team and keeping the space immaculate, no two days are the same, and your contribution genuinely matters.
What You’ll Be Doing
Client Experience
- Welcoming clients warmly upon arrival and making them feel at ease, including offering refreshments
- Answering phone and email enquiries professionally and logging them accurately
- Sending daily appointment reminders and follow-up communications to clients
- Handling cancellations, late arrivals, and no-shows efficiently, following clinic processes
- Sending receipts, gift vouchers, and welcome emails to new clients
Bookings & Administration
- Managing appointments, amendments, and waiting lists on our MindBodyOnline (MBO) booking system
- Processing payments and checking clients in and out via MBO
- Maintaining and updating the client database
- Ensuring all filing is completed promptly and accurately
Clinic Upkeep
- Keeping therapy rooms and communal areas clean, tidy, and well-presented at all times
- Managing laundry and ensuring towels are always folded and ready
- General housekeeping duties including rubbish disposal
- Restocking front-of-clinic flyers and supplies
- Supporting the wider team with ad-hoc tasks as needed
What We’re Looking For
You don’t need to tick every box, but the following will set you apart:
- A natural people person with exceptional communication skills, someone who’s warm, clear, and professional in person, on the phone and via email
- Sharp attention to detail with strong organisational and multitasking abilities
- A proactive, "can-do" attitude: you spot what needs doing and you do it!
- Discretion and professionalism when handling sensitive client information
- Comfortable working independently and using initiative, while being a strong team player
- Confident with IT systems including email, Microsoft Word, and Excel
- Experience in a customer-facing or clinical reception role is a bonus, but not essential
Education: GCSE standard or above (English essential), or equivalent demonstrable communication ability.
The Details
This is a permanent, 4-day-per-week position with the following hours:
- Wednesday: 08:45 – 17:30
- Thursday: 13:15 – 21:15
- Friday: 08:45 – 17:30
- Saturday: 08:45 – 17:30 (34 hours per week)
There is also the opportunity to take on occasional additional hours to cover clinic needs.
Starting rate: £13.00 per hour
