We are looking for a highly organised and proactive Office & Recruitment Administrator to join our friendly and supportive team. This is a varied role that combines office administration, recruitment coordination, HR administration, and quality support within a busy and rewarding care environment.

We offer flexibility around working patterns and are happy to consider arrangements such as school hours across four days or three full working days per week.

About the Role

As the Office & Recruitment Administrator, you will play a key role in ensuring the smooth day-to-day running of the office while supporting the recruitment and retention of our care team. You will be the first point of contact for many enquiries and will help maintain the high standards of organisation, compliance, and customer service that underpin our care services.

Key Responsibilities

Office Administration

  • Provide comprehensive administrative support to the office team, management team, and care assistants.
  • Maintain accurate and up-to-date electronic and paper-based records, including staff and customer files.
  • Prepare, distribute, and manage new customer information packs.
  • Handle telephone, email, and face-to-face enquiries professionally and sensitively.
  • Communicate effectively with customers and their representatives regarding care and support arrangements.
  • Attend meetings, take accurate minutes, and distribute notes promptly.
  • Prepare training rooms and resources ahead of training sessions.
  • Ensure documentation is filed accurately and confidentially.

Recruitment & HR Support

  • Coordinate recruitment activities to ensure sufficient staffing levels to meet current and future business needs.
  • Manage job postings, candidate applications, interview scheduling, and recruitment correspondence.
  • Support workforce planning alongside the management team.
  • Maintain accurate recruitment, HR, and compliance records.
  • Assist with onboarding processes and ensure all required documentation is completed.
  • Liaise with managers to support staff induction, training, and ongoing professional development.

Quality & Business Support

  • Assist the Registered Manager with quality assurance activities and audits.
  • Conduct competitor research exercises to support business development and continuous improvement.
  • Support the delivery of high-quality care services through effective administration and compliance monitoring.

About You

We are looking for someone who is:

  • Highly organised with excellent attention to detail.
  • Confident using Microsoft Office and computerised record systems.
  • Experienced in administration, recruitment, HR support, or a similar role.
  • A strong communicator with excellent interpersonal skills.
  • Able to manage multiple priorities and work independently.
  • Professional, approachable, and committed to maintaining confidentiality.
  • Experience within the care sector would be advantageous but is not essential.
