Overall Purpose

As the face and the first point of contact for the building, the Corporate Receptionist will deliver five-star front of house service. The receptionist’s daily responsibilities are understanding, engaging and delivering professional yet friendly service and maintaining the utmost standards at all times.

You will be working closely with the Day Security providing a one-team approach at all times. You will lead the front of house services yet supporting each other to best represent the building. You will also work closely with the Building Management providing support and administrative communications as/when required.

The role incorporates an active social engagement responsibilities including managing and maintaining the building app, leading the social events including pop-ups and freebies, creating the digital newsletter in the building app and all posters required.

The receptionist is an excellent communicator (both verbal and written), ensuring outstanding customer service, confident, creative, ability to think on their feet, a flexible team player and is an enthusiastic self-motivator. Excellent attendance and timekeeping are vital to this role.


Duties and Responsibilities


The below listed task/responsibilities are not exhaustive:

  • To take full ownership and accountability of the reception and all associated areas, making sure that they are kept in the best possible order at all times, liaising with cleaners, facilities, security and other departments as deemed necessary.
  • Providing support to the building management
  • Ensure the St James folder, manual, occupiers’ procedures, phone database are up to date. Delivering of weekly reports and appropriate FOH data as and when required.
  • Ability to assist, support, build strong relationship with all tenants.
  • Create and lead on social engagement (building app, digital newsletter, events calendar, pop ups and freebies)
  • Flexibility to react and assist the client with unforeseen circumstances at a short notice
  • First point of contact for all guests, visitors, occupiers and clients to the building, as outlined in the St James Guide. Dealing with all questions and queries.
  • Being responsible for meeting and greeting of all guests and visitors into the building and providing them with exceptional service. Standing to greet as a basic standard.
  • To receive/answer calls promptly and efficiently, identifying the callers’ requirements and taking messages as appropriate.
  • Manage difficult calls and/or distressed callers’ in a calm and professional manner.
  • Where appropriate, reporting of accidents or incidents.
  • Ensure the reception area is kept organised, clean and tidy always.
  • Adhering to St James policies and procedures, code of conduct and to be fully conversant with the emergency procedures in relation to Health & Safety issues.
  • Any other duties as deemed necessary to support the client, customer, colleagues and St James.


Knowledge and Skills

  • Effective and clear communication skills, both verbal and written
  • Experienced and confident in using Microsoft Office (Word, PowerPoint, Excel, Canva and Outlook) and ideally experience in building apps.
  • Good interpersonal skills, flexible to work with a range of styles and personalities and according to business demands.
  • Ability to multitask and prioritise.
  • Professional telephone and email etiquette.
  • A team player who is always keen to learn and help.
  • An individual who genuinely enjoys working at the front of house and owns their role.
