This is a key support role for our service, install, and new construction teams. The right person will help make sure materials are organized, inventory is accurate, orders are prepared properly, and jobs are ready before crews need to leave the shop.

Position Overview

The Inventory, Purchasing & Warehouse Coordinator is responsible for tracking inventory, preparing material orders for approval, receiving deliveries, organizing the warehouse, staging materials, and supporting the field team from the shop.

This is an inventory-focused position. HVAC, sheet metal, warehouse, construction, or purchasing experience is helpful, but the most important qualities are organization, dependability, attention to detail, and willingness to take ownership of the shop and inventory process.

Key Responsibilities

  • Maintain accurate inventory of HVAC materials, parts, filters, sheet metal materials, fittings, tools, supplies, and consumables.
  • Keep the warehouse, shop, yard, and storage areas clean, labeled, organized, safe, and easy to use.
  • Perform regular inventory counts, monitor stock levels, and report low, missing, damaged, incorrect, or overstocked materials.
  • Organize materials by job, department, equipment type, or stock category.
  • Prepare material, equipment, and supply orders for management approval.
  • Communicate with vendors regarding pricing, availability, order status, lead times, backorders, deliveries, and vendor issues.
  • Gather quotes or pricing when requested and confirm orders are complete, accurate, and properly documented before approval.
  • Track approved orders, open items, returns, warranty parts, vendor credits, and parts follow-up.
  • Receive deliveries, check materials against packing slips or approved order lists, and put materials away in the correct location.
  • Stage materials for upcoming service, install, and new construction jobs.
  • Maintain purchasing, receiving, inventory, and material records using company software, Google Sheets, and other approved systems.
  • Load, unload, pick up, and deliver parts, materials, tools, supplies, and equipment as needed.
  • Assist with general shop upkeep, including trash removal, grounds upkeep, and maintaining a safe, efficient work environment.

Requirements

  • Strong organizational skills and attention to detail.
  • Dependable attendance and strong work ethic.
  • Ability to communicate clearly with office staff, managers, technicians, installers, and vendors.
  • Basic computer/tablet skills and ability to learn company software.
  • Ability to use Google Sheets or willingness to learn.
  • Ability to lift, carry, move, and organize materials safely.
  • Valid driver’s license and acceptable driving record.
  • Willingness to perform both inventory/administrative tasks and hands-on shop/warehouse tasks.
  • Ability to work independently and follow through without constant supervision.

Physical Demands:

  • Climbing up and down on ladders and equipment
  • Heavy lifting required (50-75) pounds, ladder work and tight space work required from time to time
  • Ability to pick-up a minimum of 25 pounds consistently and carry up to 250 feet unassisted
  • Operate handheld power tools
  • Wear personal protective equipment
  • Ability to work more than 40 hours per work week as needed

Working Environment:

  • Work both indoors and outdoors
  • Will be exposed to very hot or very cold temperatures
  • Will be in proximity to hazardous conditions, equipment, and situations
  • Could be exposed to sounds and noise levels that are uncomfortable and distracting
  • Will be exposed to very bright or inadequate lighting conditions
  • Ability to climb ladders and work from roofs and scaffolding
  • Will work around exposed contaminants
